Privacy Policy

Plain language, no fine-print games. Here's exactly what we collect, why, and how to have it deleted.

Who we are

Mainbot Automation ("Mainbot," "we," "us") builds websites, AI chatbots, call receptionists, assistant agents, and automation systems for businesses. This policy covers the personal information we collect through mainbotautomation.com and our project intake forms. We're based in Ontario, Canada, and this policy is written to follow Canada's federal private-sector privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

We only collect what you choose to give us, mainly through our intake and contact forms:

  • Contact details: your name, business name, email, phone number, and location
  • Project details: what you're looking to build, your services, goals, budget, and timeline
  • Files or links you choose to share: logos, photos, documents, or website links
  • Anything you write in a message or notes field

We do not use tracking cookies, ad pixels, or third-party analytics scripts on this site. Our host (Cloudflare) automatically logs standard technical data, like IP address and browser type, for security and performance, the same as almost any website on the internet.

Why we collect it

We use your information only to: respond to your inquiry, prepare a plan or quote, build and deliver the project you've asked for, and communicate with you about that work. If you'd ever like occasional updates or offers from us beyond that, we'll ask for your clear, separate consent first, in line with Canada's Anti-Spam Legislation (CASL), and every message will include an easy way to opt out.

Where it goes

We keep the number of hands on your data as small as possible:

  • Our forms are delivered by FormSubmit, a form-processing service. It relays your submission directly to our email inbox and, per its own privacy policy, does not permanently store it.
  • Our website is hosted on Cloudflare Pages, which serves the static site itself, it does not receive or store your form data.
  • After that, your information lives in our own email inbox and, if we start working together, in our project files.

We never sell, rent, or trade your personal information to anyone. We don't hand it to advertisers or data brokers. Full stop.

How long we keep it

We keep your information only as long as we need it, to complete the project you hired us for, to respond to your inquiry, or as long as we're legally required to for tax and accounting records. Anything beyond that, we delete.

Your right to be forgotten

You can ask us to delete your personal information from our records at any time, for any reason, no questions asked. Since your data only ever lives in our own inbox and project files (see "Where it goes" above), this is something we can actually do, quickly and completely.

To request deletion, email us with the address or details you used when you contacted us. We'll confirm your request, remove your information from our systems within 30 days, and let you know once it's done.

One important limit: we can only erase what's in our systems. If you've separately given information to another company, Google, Meta, your web browser, your own email provider, or anyone else, we have no access to that and no ability to delete it. You'll need to contact those companies directly using their own privacy tools. We also can't delete records we're legally obligated to keep, like invoices already filed for tax purposes, but we'll remove or anonymize everything else tied to you.

All of your rights

Beyond deletion, you can always ask us to:

  • Access what personal information we hold about you
  • Correct anything that's inaccurate or out of date
  • Withdraw consent for anything beyond fulfilling a request you already made
  • Ask questions about how your information is handled, or raise a concern

Email mainbotautomation@gmail.com for any of the above. If you're not satisfied with our response, you can file a complaint with the Office of the Privacy Commissioner of Canada.

Keeping it safe

We use reasonable technical and organizational safeguards to protect your information, encrypted connections (HTTPS), and access limited to the people running Mainbot Automation. No method of transmission or storage is 100% secure, but we take this seriously.

Children's privacy

Our services are directed at businesses, not children. We do not knowingly collect personal information from anyone under 16.

Changes to this policy

If we change how we handle your information, we'll update this page and change the effective date above. Significant changes will be noted clearly at the top of this page.
